This month we will be discussing solutions on how to make your year-end functions more exciting and fun, while offering tips on making your event co-ordinating experience simpler and cost efficient.
End of the year functions are about enjoyment, rewarding your staff and pleasing your clients while being most entertaining. At AV Direct we are passionate about our clients needs and aim at bringing fun into the process, every step of the way.
We are here to provide you with information on how to perform the many functions that take place during an event. Before this, however, there are a few things we require from you.
STEP 1 – The Venue
Be sure to send us details of your venue, whether indoor or outdoor. This will enable us to do a site inspection and understand the variables to rigging requirements such as ceiling height and power capabilities.
STEP 2 – Entertainment
If you have booked entertainment for your event, the booking agent can usually supply you with a Technical Rider of the artist or band. This is helpful for us as supplier to understand the stage size required, as well as equipment needed. If you are having an awards dinner let us know the maximum number of people on stage at any given time.
STEP 3 – PAX
Knowing the number of guests attending your event may provide us with important insight to the sound system required, the size / quantity of screens for viewing purposes and allow us identify the amount of space needed throughout the venue. Table and seating arrangements can also be provided, whether square or round tables in banquet or cinama style seating, this will enable us to determine floor space measurements.
STEP 4 – Additional Extra’s
Many optional extra’s may be added to spice up your event. Here is a list of services that we may offer.

STEP 5 – Budget
We always ask our clients kindly if there is cost provision for technical equipment during the quoting process. It’s understandable that many area’s of co-ordintating need to be covered such as, PR, Decor Hire, Banqueting Expenses and Food & Beverage. As a technical supplier, being able to work with a precise budget, allows us to supply the client with a design of requirements, based on information above, tailored to your event.
Once we have obtained this info from you, it is will be our pleasure to sit down and analyse all the variables that go into the setup and produce an inspiring 3D Technical Drawing to enable you to visualize the event.
